About the Project

The Lead Router & Responder connects web forms to your CRM and uses LLMs to generate personalized draft replies based on the prospect's message, source, and company context. The sales team reviews and sends with one click, no more copy pasting or starting from scratch.

Situation

The sales team was receiving 50+ leads per day through website forms, live chat, and landing pages.
Each lead required a manual read, research (company website, LinkedIn), and personalized reply.
Average first response time was 8 hours, and 35% of leads never received a follow up.

Task

Create a zero touch lead routing and response system that:
captures leads from multiple web forms
enriches lead data with company context
generates personalized draft replies
routes high value leads to specific reps, and
reduces first response time to under 5 minutes

Action

We built an n8n workflow connected to webhook endpoints from multiple form providers (HubSpot, Typeform, custom forms).
Each submission triggers: company enrichment via public APIs, intent scoring via an LLM, personalized draft generation based on the prospect's message and company context, and CRM creation with the draft pre populated.
High scoring leads are also pushed to a dedicated Slack channel for immediate attention.

Result

First response time dropped from 8 hours to under 2 minutes.
Lead to meeting conversion improved by 40%. 100% of leads now receive a reply within 24 hours.
The sales team saves approximately 15 hours per week on email drafting.
Enterprise tier leads are flagged and routed within 30 seconds.
